    Position Overview:

    I am seeking a detail-oriented, organized, and client-focused Administrative Assistant to support my growing Medicare and health insurance practice.  This is a part time position (20-25 hours per week) with the potential to develop into full time employment down the road.  

    This role is critical in maintaining compliance, managing client communication, and supporting enrollment processes. The ideal candidate is dependable, tech-savvy, and thrives in a structured, regulated environment.

    I work remote and you will need to be able to do the same. It is important that you have a designated works space at home (home office) that you can work distraction-free and where you can maintain confidential client records. You will need to reside in Northwest Arkansas to be able to assist with local marketing and networking events.  These events will be in Eureka Springs, Bentonville, Rogers and surrounding areas.

    Key Responsibilities:

    • Client & Enrollment Support
    • Schedule client consultations and follow-up appointments
    • Send and track Medicare Scope of Appointment (SOA) forms
    • Collect client documents and verify completeness
    • Enter applications into carrier portals
    • Track pending enrollments and effective dates
    • Confirm ID cards and premium payments
    • Maintain accurate CRM records
    • Assist with local (Northwest Arkansas) networking and marketing events

    Client Service:

    • Respond to client inquiries regarding:
    • ID cards
    • Billing questions
    • Plan documents
    • Provider network questions
    • Assist with carrier customer service calls
    • Track service issues through resolution
    • Coordinate annual review scheduling (AEP / Open Enrollment)

    Compliance & Documentation:

    • Maintain organized digital client files
    • Track CMS-required documentation
    • Monitor Special Enrollment Period verification documentation
    • Assist with carrier certification tracking
    • Ensure client records are audit-ready

    Employer & Group Support:

    • Organize employee census data
    • Prepare enrollment spreadsheets
    • Track new hire and termination notices
    • Assist with onboarding paperwork

    Marketing & Event Support:

    • Assist with seminar preparation
    • Track RSVPs for workshops
    • Format flyers or marketing materials (Canva experience preferred)
    • Manage CRM lead entry and tagging
    • Attend marketing events and seminars

    Qualifications:

    • One plus year administrative experience (insurance or financial services preferred)
    • Strong attention to detail
    • Excellent written and verbal communication skills
    • Comfortable learning carrier portals and CRM systems
    • High level of confidentiality and professionalism
    • Ability to manage multiple deadlines
    • Must be able to work from home in a designated work space (home office) where client information can be kept secure
    • Must have a computer or laptop, cell phone and a good internet connection

    Preferred (Not Required):

    • Experience with Medicare or health insurance
    • Familiarity with CMS compliance requirements
    • Experience with CRM systems
    • Canva or basic marketing support experience
